Job Summary

This position is responsible for providing support to administration, including the department chair, by planning, organizing and managing the department staff.

Responsibilities

Duties include, but are not limited to:

DIRECT SUPERVISION OF ADMINISTRATIVE OPERATIONS: Provides direct supervision of support staff administrative operations. Assigns duties and evaluates the work of staff. Establishes work schedules and priorities. Delegates and prioritizes work requests to administrative staff. Advises approves, and records time for staff.

SPECIAL PROJECTS: Responsible for special projects as assigned by chair.

CRITICAL ASSESSMENT OF OFFICE OPERATIONS: Performs critical assessment of office operations to ensure efficiency of operations. Develops procedures for improvements within the department. Trains staff in policies and procedures. Follows up on work requests to ensure completion in a timely and accurate manner.

STAFF MANAGEMENT: Trains, motivates, and supervises support staff within the department, responsible for ensuring staff knowledge of the business processes within the department. Counsels staff to resolve problems in order to improve competency and efficiency.

BUDGET MANAGEMENT: Responsible for managing budgets to include the purchasing of office supplies, equipment and furniture, etc., in accordance with institutional policies and budgetary restrictions. Manages and reconciles the departmental budgetary spreadsheets. Review, authorize, and submit requisitions and IDRs, as well as check requests and budget amendments.

CANDIDATE SELECTION FOR STAFF POSITION: Interviews and selects candidates for departmental staff positions. Ensures administrative support is adequately provided.

PROCESSING OF PERSONNEL PAPERWORK: Responsible for the timely processing of personnel paperwork for staff and faculty positions. Initiates all personnel actions, including ePARs, employment requests, faculty employment requests, applicant clearinghouse forms, etc.

COMMUNICATES AND IMPLEMENTS ADMINISTRATIVE POLICIES AND PROC: Serves as a resource to staff and students to ensure administrative policies and procedures, programs, etc., are communicated and monitored for compliance. Writes departmental policies and procedures if needed when implementing changes.

MAINTENANCE, SAFETY, AND KEY CONTROL OFFICER: Serves as a resource for maintenance and alteration of office areas and equipment. Serves as safety officer and key control officer.

OTHER DUTIES: Performs other duties as assigned.

Required Qualifications

High School diploma, GED, or equivalent from a State or Federal accrediting organization, with a minimum of nine (9) years of progressively responsible office support experience.

OR

Associate's degree from an accredited college or university with a minimum of six (6) years of progressively responsible office support experience.

Preferred Qualifications

Five (5) years of experience in content development or enrollment/ recruitment.

Knowledge, Skills, & Abilities

KNOWLEDGE

Proficient in Microsoft Office and other computer software/databases.

Creativity, self-starting, multi-tasking, confidence in engaging with seniors, time management, institutional knowledge of systems/processes, flexibility, and adaptability.

SKILLS

Excellent interpersonal, written, and verbal communication skills.

Detail-oriented with strong organizational, prioritization, and customer service skills.

ABILITIES

Ability to maintain confidentiality.

Ability to coordinate multiple projects simultaneously and meet deadlines despite frequent interruptions.

Ability to keep accurate records and make decisions.

Shift/Salary/Benefits

Shift: Days; Monday-Friday

Pay Band: B5

Salary: $17.88/hr - $19.83/hr

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
